Cancellation & No-Show Policy
Effective date: 01/01/2025
To keep our diary fair and efficient for all patients, the following terms apply to every booking made with our clinic (“we”, “us”, “our”). By booking an appointment you agree to this policy.
1) Notice Period
- 12 hours or more: You may cancel or reschedule without charge.
- Less than 12 hours: Cancellations or reschedules made within 12 hours of the appointment start time are charged 100% of the treatment fee.
- No-show: Failure to attend without notice is charged 100% of the treatment fee.
All times are measured against the scheduled appointment start time in our clinic’s local time zone: UK.
2) How to Cancel or Reschedule
You can cancel or reschedule by using the link in your confirmation email/SMS, or by contacting us during business hours at dr.asafteizabela@gmail.com. Requests received outside business hours will be deemed received at the start of the next business day.
3) Prepaid Services & Packages
- All prepaid services are non-refundable.
- If you cancel within the 12-hour window or do not attend, the full session value will be deducted from your prepaid balance.
4) Late Arrival
Please arrive on time. If you arrive late, we may need to shorten or reschedule your appointment to avoid delaying the next patient. A shortened appointment due to late arrival may still incur the full treatment fee. Arriving so late that you cannot be seen may be treated as a late cancellation and charged accordingly.
5) Medical Suitability & Clinician Discretion
Your safety is our priority. Treatment is always subject to clinical assessment and informed consent. If, on assessment, you are not suitable for a requested treatment, we will not proceed and no treatment fee will be charged. Where a separate consultation fee applies, that fee may still be payable. We reserve the right to decline or modify any treatment in your best interests.
6) Exceptions & Force Majeure
We understand that emergencies happen. At our sole discretion we may waive or reduce charges if you notify us promptly and provide reasonable evidence of a genuine emergency (e.g., acute illness, accident). This does not create an ongoing right to waiver.
7) Our Right to Reschedule or Cancel
In rare cases (e.g., clinician illness, equipment failure), we may need to reschedule or cancel. If we cancel, no fee will be charged and we will offer the next available appointment.
8) Payment & Outstanding Balances
By booking, you authorise us to collect any applicable cancellation or no-show charges via the original payment method on file or to issue an invoice payable on receipt. Unpaid balances may need to be settled before future bookings can be accepted.
9) Changes to This Policy
We may update this policy from time to time. The version in force at the time of your booking will apply to that booking unless a change is required by law.
